Inventory software for pubs

Crumble is an inventory system for small food businesses. You set up recipe cards, track stock and sales, and cost per portion is calculated automatically. Let's look at the problems a pub runs into and how to solve them.

Problems and solutions

Problems every pub runs into

Almost all of them come down to one thing: money leaking out unnoticed. Here's what happens and what to do about it.

What happens
The risk
How Crumble fixes it

Keg beer doesn't add up

Foam gets drained off, the first pints after tapping a new keg go down the sink, and some pours come with a generous head.

Beer shortage

A 30-liter keg should yield 60 pints, but sales account for noticeably less.

Beer tracked in liters

Set up beer in liters, and specify the volume in the pint recipe — sales will deduct it from the keg, and stocktaking will show the real usage.

Kitchen and bar share one till

A pub has both drinks and a kitchen, each with its own purchases and write-offs.

Unclear what's actually profitable

Revenue is combined, so it's not clear whether the kitchen is making money or breaking even.

Cost for every item

Cost is calculated for every menu item — for a pint just as much as for a burger.

Kitchen products spoil

They have a short shelf life, and leftovers get thrown out at the end of the shift without being recorded.

Write-offs that skip the books

There's no visibility into how much product ends up in the trash or how much to order next time.

Expiry dates and write-offs

Crumble warns you ahead of expiry dates, and every write-off is logged with a reason.

Stocktaking in a notebook never adds up

Kegs, bottles, and kitchen products are counted by hand and checked against records that only cover part of the sales.

Shortages with no explanation

It's unclear where the error is: in the count, in the records, or in the stockroom.

Stock counts itself

Stock updates after every sale and delivery. At stocktaking you just enter the actual count, and Crumble calculates the discrepancy for you.

Cost and price

How to calculate pint cost

Cost per portion is the sum of everything that goes into one portion, per the recipe card. Price is calculated from cost and the margin you want on each sale.

Calculate it yourself

Margin 70%

Cost = beer + losses on foam and keg changes

Pint price

320 ₽

cost 95 ₽ · 225 ₽ left from each sale

Price = cost ÷ (1 − margin)

Works offline

The internet is gone.
The till is not.

Sales, write-offs and transfers are saved on the device and sent to the server once the network is back. Nothing gets lost or duplicated.

FAQ

Inventory in a pub

Set up stock items (beer in liters, bottles, kitchen products), create a recipe card for each menu item, and record deliveries as goods receipts. From there, every sale deducts ingredients automatically, and stocktaking once a week is enough.
